Wedding Coordinating Details

All Coordinating Packages Includes Pre-Wedding Preparation

and Day-Of Coordination.

Pre-Wedding Preparation

  • Includes 20 hours of pre-wedding work.

  • Organization of contracts for confirmation of specific job requirements.

  • Detailed time management of all the minute details of the ceremony and reception. Designing of the wedding day timeline including, but not limited to, pre-wedding preparation, photography time blocks, vendor arrival and departure times, wedding party and bride/groom scheduling, and reception events.  

  • Communication with vendors during the month of to confirm logistics, review contracts, and finalization of the timeline. Copies of the day-of timeline will be emailed to each vendor with copies present during the event. 

  • Problem-solve potential issues or logistics in the wedding plan.

  • Unlimited communication through calls and emails. 

  • Scheduled venue walkthroughs, prior to the rehearsal, to visualize and confirm details. 

  • One hour of attendance at the rehearsal to coordinate the Ceremony events.

Day-Of Coordination

  • Includes 6 hours day of.

  • Staff includes one coordinator and one assistant, a 2-person team. 

  • Early arrival to check in and oversee vendors.

  • Direct setup of the floor plan and personal decor. 

  • Final walkthrough prior to guests' arrival.  

  • Coordination of the ceremony cues, processional, and spacing of the wedding party. 

  • Oversee reception floor plan changes throughout the event.

  • Continuous communication with the DJ for managing the fluidity of events including the ceremony cues, directing the grand entrance, and adjusting events when ahead or behind the timeline. 

  • Communication with all vendors on live timeline adjustments.

  • See to it that the toasts, garter and bouquet toss, cake cutting, special dances, and other formalities stay on schedule for optimum use of your reception. 

  • Problem-solve and resolve last-minute or day of challenges that may arise.

  • Move cards and gifts to a secured location, if needed.

  • Deliver payments and tips to vendors, if needed.
